Improved Guest Email Template/Functionality
Please provide any suggestions for what features and improvements you'd like to see for guest email templates. We do plan on overhauling the system as we've had a lot of feedback that it is confusing to use. We'll be centralizing and simplifying the user interface as well as providing more flexibility.

JoshDefinitely would like to have a different email per lock, or at least have more ability to customize. Also, I was bummed that they removed certain template variables that I found useful. Not sure why you would remove functionality, so adding that back would be great!

Kellie1. I would to see Access Code as a Tag. So I can repeat it as many times as I want in the email. My guests often get confused with my gate code with the "access code"
2. Also I want the access dates and access times as an optional tag. I usually give my guests a grace period for check out but I don't want that time to be known as some think that that is their check out time.
3. For door groups/common doors I would want the option to have it's own guest email template. -

Chris MerrettI'd like to be able to select a default time to send the Guest Email. At the moment it is sent as soon as an Airbnb booking is received. This gives the guest instant access to the apartment address even if the booking is 6 months away. I then have to select send 2 days before on every individual booking.
Also it would be good if Homeaway email addresses could be imported with the bookings this has to be done manually at the moment. -

DomIt should also be possible to have more flexibiliy over the information displayed in the fields for the dates of active from and active to. We may only want to include the date and not the time in those emails but right now it gives the full date and time - there should be another option to just show the date only in DD/MM/YYYY format for Europeans please as well !

Chris MergedI would like to send BCC (or cc) emails to more than one email under Guest Email Template. Using comma ',' or semi-colon ';' does not work and gives me an error. Support staff has confirmed this is not possible at the moment. Thank you!

Wayne Weiler MergedIs there a way you guys can add a Dynamic Tag that includes the rental "dates" for the Guest Email Template. That is important information for Guests to be able to review to make sure my inputted stay dates match their actual requested stay dates; this would help catch potential date input errors. Thanks.

Dates can be pulled from the User fields that the User Name and PIN# are pulled. I change the User Auto email for every user adding the stay dates. But... I have to remember to delete the dates before entering the next user. -

Dominc MergedCurrently it's only possible to CC and BCC at an account level. We need to copy guest emails to check-in teams in different cities/countries and therefore it would be great if this was possible at a device/location level and not at an account level only.

AndrewThe access instructions are clunky, it should be possible to separate out the details related to the location, the door, the access times and the access instructions. Also, we definitely want to be able to edit the message before sending to the guest, as we include other info like room number and code to collect the key for the hotel room.

BruceI would LOVE to be able to configure email templates by Location of the of the locks. We have these locks at several locations and there is other specific information that goes along with each location, garage access codes, door locations...etc

Kevin MergedCurrently, the system only allows one email address per "to", "cc", or "bcc" field. Please add the option to send these email templates to multiple email addresses for each field. In our work flow upon booking we want to message guests and also send these instructions to our cleaning teams and such for turnovers while keeping those bcc'd.
Please add an option to insert a phone number in the "to", "cc", or "bcc" fields as a recipient that can receive the email as text message on the mobile phone with an option to select the carrier (T mobile, Att, Verizon, etc) so that the system would autopopulate the appropriate mobile email ending configuration with the inserted phone number.
ALSO - It would be great to be able to see when these template emails have been sent previously from the app interface. -

Daryle MergedIs there a way to incorporate a sending out group emails instead of sending out individual email to each access user. We are incorporating these locks into our fire station and I have approx 70 users that I will be adding. I would like to send them the instructions for using the door locks without having to individually going into their profile to email them.

JavierI agree. It would be EXTREMELY helpful if we can add various email templates. MY intention is to add a different email template per location. Each location has different locks, so the instructions on how to operate the lock (included in my email template) is different for each location. 1 guest email template is not enough at all. We need more! PLEASE HELP URGENTLY! :)

Julie MPlease, please PLEASE at a minimum allow us to have one template per device. I would love to be able to put some location-specific information in my access messages, but cannot do that so long as I'm limited to one template per account. Also, the default formatting with the dynamic tags is bizarre, and makes for a messy email with a good deal of superfluous information. I'd like to be able to control this with more specificity.

DylanI second Kelly’s request number 2. Access times should be optional. Guests are communicated check-in and check-out times. That’s what they need to know.
Additionally it would be nice to be able to change the access times after a booking. I’ve tried doing this with AirBnB bookings but it doesn’t work. The code says active but the guest can’t unlock. Probably because the lock isn’t syncing -

Michael Keaton MergedThe automated e-mails are a nice benefit (wish the VRBO integration would come back). We typically send our guests a parking pass and a map. It would be nice to be able have the automated e-mail also include PDF attachments. Thanks!

BrianI second Chris Merrett's suggestion, we need to be able to delay the sending of the guest message email with the door code until a few days before the check in date like we used to be able to do. It's so confusing for guests to receive it immediately at booking and then frequently they forget about it when it's time to check in.

BrianDelay sending the Guest Access Email for Airbnb until 3 days before check in. It is sent as soon as an Airbnb booking is received and is very confusing for guests when the booking is several weeks/months away.

Silas HoffmanIt would be so great to be able to have an independent message for each location. I've found a work around using the access directions, but the formatting of this information is very poor, repeating the location name, address... all this information is already available.
Great system other than that. Best I've seen so far. -

PhilHello my wish list includes some product enhancements as well as improved documentation that can happen in the short term...
1) Stop pulling the Internal Name from the listing over. That makes double descriptions with the Public Listing Name in the message and is formatted poorly. 2) Make it clear in your documentation that Markdown language is not supported in Airbnb messsaging 3) Provide a document that explains what fields are combined to build the email...4) Provide guidance on which type of lock we should list in Airbnb (Smart Lock vs Keypad?) 5) Pass the Access Code tag to Airbnb so that it can be used in followon messages to the guest or if not 6) then give us a second email template to use on followup messages to the guests (such as the night before arrival).
Thanks so much for considering these and I would be happy to provide more detail. The better Remotelock integrates with Airbnb, the more customers you will acquire! -
